This week we released the ability to tag applicants and search based on these user-generated tags. While the possibilities are endless, below are two examples of how tags can be used to organize your applicants –

Organize applicants throughout your hiring process 

Out of the box, we provide the ability to organize candidates in the following stages: New, In-review, Interview, Offered, Accepted, Hired, Rejected or Withdrawn. However, if you have a more granular process or would just like to add simple reminders such as “call back” or “follow up” or “meet team” you can quickly tag applicants with any or all of these tags.

To see all the candidates that you intend to say call back, simply go to the applicant list and filter by the tag you added, in this case “call back.” You can un-tag an applicant at any time or add a new tag to the same applicant. This means that you can use tags to keep track of applicants as they progress through your hiring process.

Create Talent Pools

You can easily tag candidates with skills (e.g Java, User Experience) or with roles such as “Product Manager” or “Developer” to quickly create talent pools. You can then filter your applicant list by a certain tag to see the applicants in that talent pool.

How does this work?

To add a tag, go to the applicant profile and click on the add tag link. Any new tag that you create is automatically added to your list of tags and you can use it as many times as you like.

Email Recommendations

This week we also introduced an email notification that sends you job board recommendations, right to your inbox. We track and analyze all your jobs, and if you receive fewer than 5 candidates, we make job board suggestions that will work better than the ones you have posted to. We email these suggestions to you so that you can act quickly and smartly. We believe this will help you source better faster. Happy hiring!

This integration with CrunchBoard, along with our capability to recommend high-performing, relevant job boards, will ensure that CrunchBoard is recommended and easily accessible to you for Internet and tech jobs. Your jobs will then automatically appear on TechCrunch.

Promote your jobs on your website using SmartRecruiters Job Widget: Last week we announced easy personalization of the out-of-the-box SmartRecruiters Careers page that you can use to link to your existing corporate site. This is a great option for companies that do not already have a Careers section on their website. This widget simply lists your open positions in a tabular format and can be inserted cleanly to any existing webpage. See samples here: Blue Star EnergySatMetrix and Star Tribune.

This week we worked on improving the interface to personalize this widget. In the Change Design tab you can change the look-and-feel of the widget to match it to your brand colors. In the Select Columns tab choose how much information you want to display per job (Title, Location, Department etc). Finally use the Filter Jobs tab to determine which jobs you want to display for any instance of the job widget – all jobs or jobs in a certain location and/or department. After you are done, simply click on the Grab Code button, copy the HTML code of the job widget and embed it in the HTML code of the page you want to add the widget to.

Also with the SmartRecruiters Job Widget, you can display your open positions on more than one page of your corporate site, say on your Careers page and your Blog. One very important thing to note with the job widget is that you can have multiple versions of the job widget on different pages of your website. For instance, you may choose to display all your jobs on your Careers page using one version of the widget and only your technical jobs in San Francisco on your technical blog page. To do this, just customize the widget twice, grab the code that is generated each time and add it to the respective pages. There is no limit to how many job widgets you can have on your website!

Opting out of sending rejection emails: While at SmartRecruiters we strongly believe that every applicant should be promptly and continuously be informed about the status of the application, we understand that it is not always feasible to do so. Keeping the customer demands in mind, we have made the ability to send a rejection email optional. You can opt out of sending the email by simply un-checking the “Also send a rejection confirmation email” checkbox. This will ensure that the applicant is moved to the rejected state but no email is sent out to the applicant.

This week’s bug fixes

 

    • In the payment checkout process, when you are on step 4, step 3 was incorrectly highlighted. This was confusing and has been resolved.

 

    • A personalization field “User Full Name” that has been discontinued for a while now, was still appearing as an option for Formal Job Offer template. This option has now been removed from the list of available options. We urge existing users to update their templates and use “My First Name” and “My Last Name” instead of this one field so that the template is functional again.

 

    • We have also updated the working of email templates so that adding personalization fields will add them to the area in the template where your mouse is pointing. This way, the personalization field will get added in your template at appropriate location instead of the end of the template.

 

    • Users were able to update their own user role/privilege access in the system. This had caused some of the Admin users to accidently change their access from Admin to Extended or Standard roles resulting in loss of available functionality. This issue has now been resolved. You will not be able to change your user role.

 

    • Mark as Withdrawn action that was missing from the Applicant List has been added to the list of available actions.

 

    • Buying a single job posting on certain boards was accidently changing your selection to a (more expensive) job-posting package. This issue has been resolved. You will only be charged for a single posting that you manually selected.

 

    • New applicants were appearing on the job pipeline on job pages after some delay due to refresh issues. This has been fixed now. Candidates will appear as soon as they apply.

 

    • IE9 browser compatibility issue that was causing IE9 users to time out when rejecting candidates has been fixed.

 

    • Editing a job that is copied from an existing job was creating formatting problems. This issue has been resolved. You should now be able to easily copy jobs and make relevant changes before posting the new job.

We focused the last two weeks of product development in building and improving features that help you promote your jobs better, faster so that you can reach more job seekers. We are proud to announce our new SmartRecruiters Careers App that can be used to display your jobs on your Facebook fan page.

Facebook Career App: Within minutes, add a “Careers” tab to your existing Facebook fan page and display your current job openings there. Any job you post via SmartRecruiters will be automatically posted to your Facebook fan page as well. To get started  –

 

    • Click on the Install App button and a Careers tab will be added to your Facebook fan page. Note that you will need admin rights to your Facebook fan page.

 

    • Go to the newly added tab and sign in with a valid SmartRecruiters username and password.

 

 

All your active jobs will be instantly displayed here. Applicants that apply from your Facebook fan page will be tracked. Fans visiting your page can also leverage powerful options like Facebook Share and Like, to spread your jobs virally to their social network.

 

Easily personalize your SmartRecruiters Careers Page: Your ready-to-use SmartRecruiters Careers page is available and can be easily linked to your existing corporate site to list all your job openings. Unposting a job will take it down from this site.

This week we have made personalizing of your SmartRecruiters Careers page more intuitive. Add the Job List component to display your open positions. Drag and drop components like video, LinkedIn, Twitter feed to make it more interactive. You can easily update colors or fonts to reflect your corporate brand. Improving your sourcing strategy: On June 17, 2011 we announced performance-based job board suggestions, which was the identification of boards that attract the best candidates for your job opening. This week we extended this functionality to show you 10 relevant boards instead of 5. We have also fine-tuned our algorithm and are now ordering the boards such that you see the top performing board at the top of the list. You can also influence the suggestions by editing the criteria that governs the suggestions – industry, function and experience level. Simply click on the edit link and update them to find the best job boards for you.
 

 

 

Stability and session time-outs: Last week, a number of our customers reported that they were getting logged out of the system due to inactivity, even when they are not actually inactive! We spent a lot of time this week looking into this issue, and found the causes. The good news is that we have figured this out and released a fix that will ensure fewer to no session time-outs. It was a little bit like looking for a needle in a haystack but we found the needle and sewed up the seams!

 

This week’s bug fixes

 

  • Users who were running into issues when setting up career site should now be able to configure and embed career sites. This bug has been resolved.
  •  

  • Emails sent out from the system will use UTF-8 encoding. This means that the emails will now retain international characters. This is particularly useful for companies that send emails and invites in languages other than English.
  •  

  • Copying a job was affecting the job ad URL (was displaying copy of job ad in the URL, making it unintuitive). This issue has been resolved. The URL will no longer contain the terms “copy of job.” The job that is copied will have a unique URL.
  •

Inviting hiring team just got easier: At SmartRecruiters we believe that hiring should be social; after all, hiring for the team requires the input of the team. To ensure this, we let you invite members of your hiring team. We also provide three different levels of access – Standard, Extended and Admin –  which determines the jobs and applicants that the team members can access. We have now made granting this control to each team member easier by detailing out exactly what each these levels includes. You can view this information from within the invite workflow itself, making it simple to decide what level of control you want to grant to the team member you are about to invite into the system. Simply hover your mouse pointer over the help icon alongside the user role dropdown and get more information about the user roles.
 

 

 
Automatically unposting jobs (contd.): We previously released the ability to automatically unpost your job ad if the position is filled, on-hold or cancelled. This week we have enhanced this feature so that it works from all areas of the application; the job list as well the job page. Irrespective of where you move the job from any status to filled, on-hold or canceled, you will be reminded to take down your job ad from your career site, job widget and free boards. Doing this ensures that applicants can no longer apply to positions for which you are no longer accepting applications.
 

 

This week’s bug fixes

 

  • After last week’s feature update, there were some job ads that were no longer displaying descriptions correctly. We have now migrated all our users and all their job ads so that all the empty ads are now correctly populated with job and company descriptions.
  •  

  • Career page URLs are no longer case-sensitive. Applicants can type www.smartrecruiters.com/companyname or www.smartrecruiters.com/CompanyName to access your career site. Both these URLs will work.

At SmartRecruiters we are continuously working on improving your job posting experience; it is the most important task our users do in SmartRecruiters. This week we focused on recruiting service add-ons and managing job ad versions so that you can re-post jobs with minimal friction.

Direct Integration with Simply Hired and Bright.com: We are happy to announce that we are fully integrated with Simply Hired, a free job search engine, and Bright.com, a free job board. With these additions, you can post your jobs to as many as six free job ad aggregators, in one click.

 

Job Posting Improvements: Consider this scenario – you prepare a job ad, review it for any typos and other errors and are now ready to post it to your career site, free job boards, tweet about it, post it to Linked, Facebook etc. So you go ahead and hit the “Post” button. Oh wait! You forgot to add a note about the possibility to work-from-home!

 

No problem! Correcting, editing, and improving your job postings across whatever boards you have posted on is as simple as making the changes once and clicking “Post.” We have made the edit workflow as forgiving as it can be – after all everyone makes mistakes occasionally and should easily be able to recover from them.

 

Previously, editing a posted job ad and re-posting this job meant your previously shared job ad URL would no longer work. This meant that you had to re-tweet this job, post another update on Facebook and LinkedIn, or where ever you socially shared it, but also, if an applicant grabbed a link to your the job-ad, it would no longer work.

With this update, if you edit and re-post your job ad, the unique URL for the job ad will remain the same. So irrespective of when your applicants grab a link to your job ad, or how many people retweet your job ad in order to help you find the right candidate, the original URL will always work. We are proud to have solidified this candidate pipeline.

How do I edit a job that I have already posted?

Its simple! Go to the job page or the job list and click on the “Edit” link. Make the changes that you want and hit the “Post” button. You may choose to tweet about this job again, post another status update on Facebook and LinkedIn (remember you don’t have to, the older link will still work but it doesn’t hurt to shout-out about your job openings every chance you get!).

 

Commenting on applicants: With the recent improvements we made to the applicant profile and collaborative reviews on applicants, we accidentally took away the ability to simply comment on an applicant without having to rate the applicant. We have fixed this issue by letting you enter comments; the rating will be defaulted to your previous rating so that you do no have to manually rate the candidate again. This will also not affect the overall rating that you give to the applicant. Note that this is the first step to bringing commenting back. SmartRecruiters product roadmap absolutely has time carved out for ability to add notes, totally independent of the rating and reviewing capability.

This week’s bug fixes

 

    • The spelling error on the applicant page (Received was misspelled) has been corrected.

 

    • The action menu on the job page pipeline was not opening in some browsers. This issue has been fixed now.

Apply with LinkedIn: A key to finding great candidates is making your application process as frictionless as possible. In general, applicants do not like to fill-in multi-page and time-consuming application forms. The confirmation of this trend can be seen in the rapid growth of Facebook and LinkedIn.

 
At SmartRecruiters, we strongly encourage our customers to reduce the “barrier to entry” for applicants to attract the best candidates by providing some great capabilities on our out-of-the-box online application form. Customers can give their applicants the ability to apply with their LinkedIn or Facebook profile, or the basic PDF or .doc versions of their resumes. In all these cases, the application form is prefilled with applicant information and all the applicant has to do is hit the submit button. It’s that easy!
 
On July 25th, LinkedIn updated the Apply with LinkedIn plugin, making it even easier for candidates to apply with their LinkedIn profiles. Among other things, candidates can now update their LinkedIn profile to reflect their latest work experience, skills etc. before they submit their profiles. This also means that you as the employer always get the most up-to-date and accurate information from your candidates.
 
We are very happy to announce that we have updated SmartRecruiters’ integration with LinkedIn and the ability to apply with LinkedIn profile to this upgraded version. All our customers can take advantage of all the improvements that LinkedIn has made to their Apply with LinkedIn plugin. If you are already using the older Apply with LinkedIn on your application form, your online application form will be automatically upgraded to use this new version. If you have turned this feature off, we urge you to switch it on again. There is nothing worse than losing a great candidate to a clunky and drawn out application process.
 



 

Enhanced Source Tracking: You can now track the source of your applicants. We have extended the applicant profile page to easily display the source of the candidate – which job board did the applicant come from, or was it your career page or was it the general application process?
 



 
This week’s bug fixes

     

  • Ability to run reports for a certain time period has been restored. The date filter on the Reports pages has been fixed.
  •  

  • Some users with standard access accounts were seeing duplicate candidates in the applicant list. This issue has been resolved now and your data has been cleaned up to remove duplicates. The underlying cause of this issue has also been resolved so the duplication will not occur in the future.
  •  

  • Some of the job ads published from the system were empty. This issue has also been resolved. If you were experiencing this issue, you should re-post the jobs that were affected. This time, the job ads will be posted correctly, with all the information displayed as entered.

How do I use this feature?

Start by posting a new job or editing an existing job. Create your job ad as you would, add additional details and go to the “Post Job” step of the wizard. Select the social networks you would like to post a status update to.

 

The first time you post a job, you will be asked to authenticate SmartRecruiters to access your social networks.

 

Select free and paid job boards as needed and click on “Post Job.” It’s that easy! In one click SmartRecruiters job wizard will post your job to your career site, all free job boards, selected paid boards and also post a status update on your LinkedIn, Twitter and Facebook.

What’s more? Once you authorize SmartRecruiters to connect to your social networks, we remember this connection so that you do not need to go through this authentication process again. On every subsequent job ad, simply select the networks you’d like to post to and you are on your way. Reach out to your entire social and professional network, in one click – everyone you know is a reference now!

 

This week’s bug fixes

    • Some select job ads were not getting updated, even via the edit and re-post workflow. This issue has now been fixed. You should be able to edit draft as well as posted jobs and also save drafts as many times as you wish before you are ready to post your job.

 

  • All job postings to LinkedIn that were not going through last week should be up on LinkedIn now. The issue of auto-posting to LinkedIn, that some users were seeing has been resolved.

Enhanced Job Widget: SmartRecruiters provides two ways in which you can advertise your jobs on your website. We provide a ready-to-use careers page that you can easily link to your website to instantly create a branded careers page. If you already have a careers page on your website that you love, you can simply embed a list of your open jobs to this page using the SmartRecruiters job widget.
 

Using this widget, you can display all your open positions or you can filter the positions by department and/or locations and embed multiple job widgets on different places on your website. Example: if you have a corporate website and a San Francisco specific sub-site, you can configure one job widget to display openings in all locations and another one to display positions in San Francisco and embed these to the respective sites. Utilizing jobs widget to share your jobs on your site, blog, or other sites just got really easy!
 
By default, the widget is set up to display all locations. You can grab the code, as is, and embed it to your main website. Note that the job widget will display ALL your jobs, irrespective of when you embed the code. So if you now have job openings in a new location, this configuration will automatically display jobs in the new location – no need to re-configure and embed the widget again.
 

For the San Francisco-specific job list, you can specific “San Francisco; SF” in the Location filter and grab and embed the code.
 

This week’s bug fix

 

  • Some users were experiencing difficulties while editing and re-posting their jobs. They were unable to get to the next step and their hiring team selections were being reset to only include the team member who originally created the job. This issue has now been resolved. You should be able to edit and re-post all your jobs.

Automatically unposting of cancelled, on-hold and filled jobs
We have heard from a number of our users that when job postings go on-hold or have been canceled for any reason, they would like to stop the inflow of new candidates for these jobs.To help you achieve this, we have enhanced the actions of canceling jobs and putting them on-hold to prompt you to also unpost your job ads from various places. If you opt in, your ads will be taken down.

 

How do you know if your job is taken down? You should see the “offline” indicator” on the job page, which means that this job is not posted to any job boards.

 

How will your candidates know that this job is no longer taking applications? When the job ad is taken down, it does not completely disappear. Instead the contents of the ad are replaced with a short and meaningful message clearly indicating that they can no longer apply to it.

 

This week’s bug fixes- this week we aimed to fix a number of bugs making SmartRecruiters more reliable and easy to use.

 

    • Sharing applicant profiles with members of the hiring team is key to making the right hire. However, a bug in the system was making it difficult for invited colleagues to login to their SmartRecruiters account via the email notification. This issue has now been resolved.

 

    • Keeping your candidate pipeline up-to-date just got easier: the issue with system timeouts when deleting applicants has been fixed now.

 

    • Job widget: The job widget has been enhanced so that you can filter your jobs by multiple departments, and grab the code button. It will also display the right number of jobs that you set it to.

 

    • Every month, SmartRecruiters gives its users 50 resume parsing credits, absolutely free! However, due to a technical glitch, most accounts did not get their credits for the month of July. We’ve fixed this issue so each one of you has your free and paid credits now. If you run out of credits, the user interface will clearly indicate such and you can buy more credits as needed.

 

  • With the unposting enhancements described above, we have also resolved the exception seen while unposting jobs.
